MarkupCFO is committed to protecting your personal information. • Financial records and reports accessed through your QuickBooks Online account and field service software (collected solely to deliver contracted advisory services)

• Website usage data: IP address, browser type, pages visited, and referring URLs (collected automatically via server logs or analytics tools)

We collect only the information necessary to deliver our services or respond to your inquiries. We do not collect sensitive personal information such as Social Insurance Numbers, health information, or government identification numbers.

2. Why We Collect and How We Use Your Information

We collect and use personal information for the following purposes:

• To respond to inquiries submitted through our website contact form
• To deliver contracted financial advisory and management reporting services
• To communicate with you about your engagement, deliverables, and account
• To invoice you and process payments

• Service providers: Third-party tools used to deliver our services, including Resend (email delivery), Vercel (website hosting), and QuickBooks Online (accessed on your behalf). These providers are bound by their own privacy policies and process data only as needed to provide their services.

• Professional obligations: As a CPA, Matt Calnan is subject to the professional standards and rules of conduct of CPA Alberta and CPA Canada, which may require disclosure in specific circumstances.

We do not transfer your personal information outside of Canada except where required to use service providers (such as Vercel and Resend) that may process data in the United States. Where applicable, such transfers are subject to contractual protections consistent with PIPEDA's accountability principle.

5. Data Storage and Security

Your information is stored using industry-standard security practices. Client files and financial data are stored in password-protected, access-controlled environments. We take reasonable technical and organizational measures to protect your personal information against unauthorized access, loss, or misuse.

No method of electronic transmission or storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security.

6. Retention

We retain personal information for as long as necessary to fulfill the purposes for which it was collected, or as required by law. For active client engagements, we retain financial records and reports for a minimum of seven (7) years following the end of the engagement, consistent with Canadian professional and tax record-keeping requirements. Contact form submissions are retained for up to two (2) years.

When information is no longer required, it is securely deleted or anonymized.

7. Your Rights Under PIPA and PIPEDA

Subject to applicable law, you have the right to:

• Access the personal information we hold about you
• Correct inaccurate or incomplete personal information
• Withdraw consent to collection or use, subject to legal and contractual obligations
• Request deletion of your personal information, where we are not required by law to retain it
• Lodge a complaint with the Office of the Privacy Commissioner of Canada (OPC) or the Office of the Information and Privacy Commissioner of Alberta (OIPC) if you believe your rights have been violated

8. Cookies and Website Analytics

Our website (markupcfo.com) may use cookies or similar technologies for basic functionality. We do not currently use third-party advertising tracking or behavioural analytics tools. If this changes, this Policy will be updated accordingly.

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. The updated Policy will be posted on this page with a revised effective date. We encourage you to review this Policy periodically.
